1. Who we are

This website is operated by Smart Move Inc Ltd, trading as Smart Move Removals ("we", "us", "our"). We are the data controller responsible for the personal information collected through this website.

We are in the process of registering as a data controller with the UK Information Commissioner's Office (ICO). Our registration number will be added here once issued.

2. The personal data we collect

When you contact us or request a quote, we collect:

• Your name;
• Your email address and phone number;
• The addresses you are moving from and to;
• Details of your move (dates, property size, items, access notes);
• Anything else you choose to include in the message field.

If you accept analytics cookies, we also receive limited technical data such as your approximate location (city level), device type, browser, and the pages you visit on this site. We do not knowingly collect special category data (such as health, racial or religious information) and we ask that you do not send us any.

3. How we collect it

Directly from you when you complete our quote/contact form, email us, or call us; and automatically through cookies and similar technologies, but only after you accept them via our cookie banner.

4. Why we use it and our lawful basis

Under Article 6 of the UK GDPR, we rely on the following lawful bases:

• Performance of a contract — to prepare your quote and carry out your move.
• Legitimate interests — to reply to your enquiry and to keep a record of what was quoted, discussed or agreed so we can address any later questions, complaints or disputes.
• Consent — to set non-essential (analytics) cookies and to send you marketing emails or newsletters where you have opted in. You can withdraw consent at any time.
• Legal obligation — to keep accounting and tax records required by HMRC and other UK law.

5. Who we share your data with

We do not sell your personal information and we do not share it with third parties for their own marketing. We do use a small number of trusted service providers ("processors") who act on our instructions:

• Lovable Cloud (powered by Supabase) — website hosting and secure storage of submitted enquiries (EU region).
• Resend — delivery of transactional emails such as your quote confirmation.
• Google Analytics 4 (Google Ireland Ltd) — anonymised website usage statistics. Only loaded if you accept analytics cookies.
• Our accountants, professional advisers, HMRC, and other authorities where we are required to do so by law.

6. International transfers

Most of your data stays within the UK or European Economic Area (EEA). Where a provider (for example Google) processes data outside the UK/EEA, that transfer is protected by the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, or an equivalent UK-approved safeguard.

7. How long we keep it

We retain enquiry, quote and booking records for 6 years after the completion of your move (or after your last contact with us, if no booking goes ahead). This period reflects the limitation period for contract claims under the Limitation Act 1980, so we can respond to any later query, complaint or dispute about what was quoted or agreed. After that period we delete or anonymise the records.

Marketing subscribers: we keep your details on our mailing list until you unsubscribe, after which we retain a minimal suppression record so we don't email you again by mistake.

8. How we protect your data

We use HTTPS encryption in transit, restrict access to staff who need it, and host data with reputable providers who operate recognised security controls. No system is 100% secure, so we also ask you not to send sensitive information (such as full payment card numbers) by email.

9. Your rights under UK GDPR

You have the right to:

• Access the personal data we hold about you;
• Have inaccurate data corrected;
• Ask us to erase your data ("right to be forgotten");
• Restrict or object to our use of your data;
• Receive your data in a portable format;
• Withdraw consent where we rely on it;
• Not be subject to decisions made solely by automated means (we do not do this).

10. Marketing communications

We only send marketing emails or newsletters to people who have opted in. Every marketing email contains a one-click unsubscribe link, and you can also email us at any time to be removed.

11. Cookies

Cookies are small text files saved by your browser. We use two categories:

• Essential cookies — required to run the website securely and remember your cookie choice. These are always on as they are strictly necessary.
• Analytics cookies — Google Analytics 4 (cookies such as _ga and _ga_*) — help us understand which pages people visit so we can improve the site. These only load if you accept them via the cookie banner.

We use Google Consent Mode v2, which means analytics and advertising storage default to denied until you accept. If you reject, no Google Analytics cookies are set. 12. Children

This website and our services are intended for adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with information, please contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top will always reflect the most recent version. Material changes will be highlighted on this page.
